Off-the-shelf software can be a good solution when your requirements are standard. But when your business has its own processes, workflows and ways of working, trying to force them into a standard package can create more problems than it solves.

When does a bespoke Access database make sense?
A bespoke database can be a particularly good option when your business has outgrown spreadsheets, when several disconnected systems are being used to manage the same process, or when an off-the-shelf package simply doesn’t match the way you work.
Rather than changing your processes to fit the software, the software can be designed around your business.
Typical systems I develop include:

Why Microsoft Access?
Microsoft Access remains an excellent platform for many business database applications.
It provides a mature and highly productive environment for creating sophisticated desktop applications with powerful forms, reporting, automation and integration with Microsoft Office.
That means I can often develop a tailored business application more quickly and cost-effectively than would be possible using a conventional web-development project.
But I don’t recommend Access simply because I’m an Access developer.
The first question is always whether it’s the right technology for what you need.
For smaller and medium-sized applications, Access may provide everything required. For larger or more demanding systems, I frequently combine an Access front end with Microsoft SQL Server or Azure SQL to provide a more scalable and resilient data platform.
And where users need mobile or web access, an existing Access system can increasingly form part of a wider solution incorporating APIs, cloud services and web or mobile applications.
The aim is to use the right combination of technologies rather than forcing everything into a single platform.
More than just a database
A good bespoke database shouldn’t simply store information.
It should help run the business.
For example, a system might take an enquiry through quotation, order, scheduling, delivery and invoicing while automatically generating documents, sending emails, checking business rules and providing management with real-time information about what’s happening.
Microsoft Access is particularly good at bringing these different processes together into a single, easy-to-use application.
And because the system is bespoke, it can continue to evolve as your business changes.
Designed around your users
One of the most important parts of bespoke development is understanding how people actually work.
I don’t normally start a project by asking a client to produce a lengthy technical specification.
Instead, I’ll talk through what you currently do, where the problems are, what information you need and what you’d like the new system to achieve.
Where appropriate, I’ll then build an initial prototype so that you can see and use the proposed solution early in the project.
This is often much more effective than trying to specify every detail on paper before development starts.
The system can then evolve through discussion, testing and feedback.
My typical approach
1. Understand the business
We look at your existing processes, spreadsheets, databases and other systems and identify what needs improving.
2. Agree the core requirements
I’ll recommend an appropriate technical approach and give you an indication of likely costs and timescales.
3. Build an initial working version
Rather than disappearing for months to build a finished system, I prefer to get something usable in front of you early.
4. Refine it with real-world feedback
Your team can try the system and we can adjust screens, workflows and functionality as the requirements become clearer.
5. Develop it over time
A bespoke Access system doesn’t have to stand still. New functionality, integrations and reporting can be added as your business develops.
Access, SQL Server, Azure and integration
Many of the systems I work on today go considerably beyond a standalone Access database.
Depending on your requirements, a solution can incorporate:
Microsoft Access for the desktop application and user interface
SQL Server or Azure SQL for secure, robust centralised data
Microsoft 365 including Excel, Word and Outlook automation
APIs and web services for exchanging information with other business systems
Mobile and web applications where staff need to work away from the desktop
AI services for new capabilities such as summarising information, reviewing orders or jobs, analysing text and producing intelligent business briefings
This allows you to benefit from the speed and flexibility of Access development without necessarily being limited to a traditional desktop-only application.
Is Access still suitable for a new business system?
This is a question I’m increasingly asked.
The answer is yes — for the right application.
Microsoft Access isn’t the right platform for every project, and I wouldn’t recommend building a new Access application where a web or mobile system would clearly be more appropriate.
But for many internal business applications, particularly where users work predominantly on Windows PCs, Access remains an extremely productive platform.
And importantly, choosing Access for the front end doesn’t mean your entire system has to be based on Access.
A modern architecture might look like:
Access front end → SQL Server/Azure SQL → APIs → other business systems/mobile applications
This provides a practical route between a traditional desktop database and a much larger custom software project.
Already have an Access database?
You may not need a new one.
A significant part of my work involves taking over and developing existing Microsoft Access systems, including large and complex applications originally developed by somebody else.
If your database is fundamentally sound, I will normally recommend working with what you already have rather than rebuilding it unnecessarily.
If the original developer is no longer available or you’re concerned about the condition of an existing business-critical database, my specialist Access Database Rescue & Takeover service may be more appropriate.
